How QuickBooks Checks Work

A QuickBooks check is a partially pre-printed sheet of check paper. Checkomatic pre-prints your business name, address, bank name, ABA routing number, and checking account number on the stock before it ships. The MICR line at the bottom , containing your routing number, account number, and check number encoded in certified magnetic ink , is also pre-printed by Checkomatic during manufacturing.

When you run a check print job in QuickBooks Desktop (QBD) or QuickBooks Online (QBO), the software prints the variable information onto the pre-printed sheet: the payee name, dollar amount in numbers and words, date, check number, and any memo or stub detail. You load the check stock into your laser or inkjet printer, run the print job, sign the checks, and send them. Every payment is automatically recorded in your QuickBooks account register at the same time it prints.

For the complete step-by-step setup guide for QuickBooks Online, see how to set up check printing in QuickBooks Online. For QuickBooks Desktop setup, see how to print checks from QuickBooks Desktop.

The Four QuickBooks Check Formats

The format you order must match your QuickBooks print template exactly. Ordering the wrong format produces checks where every field is misaligned and the batch is unusable. Here is what each format does and when to use it.

Check on Top (Voucher) , The QuickBooks Default

Check-on-top QuickBooks checks from Checkomatic, the default format for QuickBooks Desktop and QuickBooks Online.

The check prints at the top of the 8.5 x 11 inch sheet. Two perforated voucher stubs sit below it. One stub goes to the vendor or employee as a payment record. The second stub stays in your AP or payroll files. This is the default format for both QuickBooks Desktop and QuickBooks Online. If your QuickBooks print settings show "Voucher" as the check style, this is the format to order. See check-on-top QuickBooks checks.

3-on-a-Page QuickBooks Checks , For High-Volume AP

Three separate checks print on one 8.5 x 11 inch sheet with no voucher stubs. Used for high-volume accounts payable operations where stub records are maintained in QuickBooks rather than on paper. In QuickBooks, this format is called "Standard" in the check style selection. See 3-on-a-page QuickBooks checks.

Security features on Checkomatic QuickBooks compatible checks including heat-sensitive ink invisible fluorescent fibers chemically sensitive paper coin-reactive ink microprinting and void pantograph protecting businesses from check fraud and check washing

Security features on every Checkomatic QuickBooks check, all included at the base price on every order.

The original article lists four security features. Here is the full set of ABA-compliant features included on every Checkomatic QuickBooks check at the base price:

  • Heat-sensitive ink: Disappears when pressed with a warm thumb , a standard bank teller authenticity test for suspicious checks.
  • Invisible fluorescent fibers: Embedded in the paper, visible under UV light at bank verification points.
  • Chemically sensitive paper: Stains visibly when washing solvents such as acetone or bleach are applied, revealing any alteration attempt before the bank processes the check.
  • Coin-reactive ink: Changes appearance when rubbed with a hard metal object.
  • Microprint signature line: Tiny repeating text along the signature line that blurs on any photocopy, flagging reproductions at the bank.
  • Void pantograph: Background pattern that makes VOID appear clearly when the check is photocopied or scanned.

An upgraded high-security option is available for businesses writing high-value checks that require additional protection. For the complete check fraud guide, see are business checks safe: security features that actually matter.
